Copy Previous and Future Layout

Simplifying shift positioning in OneClick by copying previous and future layouts. This process is called "Layout Copies."

Introduction

In shift-based work environments, manually setting up layouts for different time slots can be time-consuming. However, by copying previous and future layouts, you can save time by duplicating existing layouts and making necessary adjustments. Let's explore how to efficiently copy layouts for better shift positioning.

 

Copying Previous Layouts

Save time by copying layouts from previous time slots. For example, if you finish setting up the 9 am layout, click on the "Copy 9:00" option when transitioning to the 11 am layout.

 

Replicating Positions

By copying the 9 am layout to the 11 am layout, positions of team members who share the same shift timing will be automatically replicated. This provides a base for further adjustments.

 

Customizing Shift Positions

After copying the previous layout, make necessary adjustments to avoid keeping team members in the same positions for their entire shift. Customize the layout, ensuring suitable assignments and preventing monotony.

 

Copying Future Layouts

Similar to copying previous layouts, you can also copy future layouts based on an existing one. For example, if you finish setting up the 2 pm layout and need to transition to the 11 am layout, click on the "Copy 2:00" option.

 

Replicating Positions for Future Layouts

Copying the 2 pm layout to the 11 am layout will replicate positions for team members who work during both time slots. This saves time on manual adjustments and allows for consistent positioning. Customize the layout as needed for variety and suitable shift assignments.

[00:01] Everyone from OneClick, so in this video, I'm going to show you how you can copy a layout from this time into a new time, so that way you don't have to do so much work, or so you can move them around so they're not in the same position their entire shift. So, in this case, I went through, and already set up our 9 A.M. one, everyone's been assigned, it looks beautiful. So, now I can come to my 11 A.M. one, and I can click copy 9 A.M., and so what happens with that, is everyone who's been assigned in this 9 A.M. one, and that still works, will also be part of the 10, or the 11 A.M. one.

[00:41] Now, we do have some that haven't been assigned, because they either get on after 11, or you know, 12, or whatever in this case, so I could add them to my positions, I can also move all of these around, just so that way they're not the same position the entire time. Then I could go to my 2 P.M. one, once I like that one, and I can hit copy the previous one, and I could keep doing that all the way through, and as you can see, there's less and less people being added, because there's less and less people that still work from 9 o'clock, that time frame. So, when I go to my 5, and click on copy the 3 P.M. lineup, nothing happens because no one works past 5 o'clock from that 9 A.M. time slot.

[01:28] Now, the reverse is also true, so if I, let's say remove this one, and this one, and we'll go back to the 2 P.M., and I want to auto schedule it, and I'm going to copy on the 11 A.M., copy the 2 P.M., so you can see here, that everyone who does work on the 2 P.M. setup is also going to be on the 11 P.M. setup. Now, you can see that there are a ton of people who do work, some work, don't work till 2, but there's some that work 10:30 to 5:00. So, for example, I'll pick on Caleb, so when I go to the 2 P.M. setup, you can see Caleb is in this mobile drinks, when I go to the 11 A.M., there is no big mobile drinks, there is one here, but there's not a mobile drinks 2, so it's not going to copy that person over, because it's not the same position. Now if I go to the 9 A.M. one, and hit copy 11, it's going to copy the exact same people that do work in those positions, so register 2, Nathaniel works there, he's also going to be copied there.

[02:34] But not all of these people are on that 2 P.M. lineup, or like Caleb, wasn't on the 11 one, and so that he's not going to be put on here, where if I copied this one, reset it, hit auto schedule, auto schedule, and then copy 11, it's going to be the exact same people that work from the 11 time over, now you have some blanks, because those represent the people who come in on at the 11 A.M. shift, but there's that kind of a thing. So, you can kind of copy and put them in, and so then you can always move them so that they're not in the same position the whole shift, and also put them in the Rotating Buddies section as well.
