Efficiently managing team members' shifts and ensuring seamless coverage is vital in staff scheduling. OneClick provides a user-friendly interface that simplifies the process of editing team members' shifts, allowing for smooth scheduling adjustments. In this article, we will guide you through the steps of editing team members in OneClick, enabling you to make shift changes effortlessly.

 

Accessing Team Member Editing

To edit a team member's shift in OneClick, follow these steps:

  1. Opening Employee Preview:
    • Right-click or hold down the left mouse button on the team member's shift that you want to edit to open the options menu.
    • Select "Open Employee Preview" to access the details of the selected shift.

 

Editing Team Members

Once you are in the Employee Preview interface, follow these steps to edit the team member for the shift:

  1. Accessing Edit Mode:

    • Within the Employee Preview, locate the "Edit" button associated with the team member's shift.
    • Click on this button to enter edit mode and modify the shift details.
  2. Changing Team Members:

    • In the edit mode, update the team member assigned to the shift by selecting the new team member who will cover the shift.
    • This ensures that the shift is accurately assigned to the appropriate team member.
  3. Saving Changes:

    • After changing the team member for the shift, click on the "Save Changes" button to apply the updates.
    • The system will process the changes, typically taking less than a minute to update any associated breaks or other relevant symbols.

[00:01] Hi everyone, this is Kevin from OneClick. Just continuing the Custom Shift series going on here. So, in this case, let's say Addison, which we already created her shift for, we are going to go in, and rather than edit the times, we're going to say that she can't come in and need someone to cover her. So, we already reached out, and we tried to get Allison to cover her shift. Now we can see here that Addison already works at 5 to 9:30, and so she can't work from 5 to 7, which is Addison's custom shift because of that. And the way that I checked that is by going, just like I did for the edit time, is I click on edit, and then I can click on that employee up at the top, rather than editing the times. And so, from here, I can see that Addison is the current shift, but any of these ones that say overlap, when I click on them, it says why they can't do that.

[00:55] So, we could have Allison cover Addison, but only until 5 o'clock, and then Addison would need to cover from 7 to whatever. Now, that's a really long shift, so we probably don't want that. But we can see Anna here already works 4:30 to 8, so we could then change this to be 4:30 if we wanted, and then she could, in theory, take that shift, but we're not going to do that because that would be forever for her. But we can have Alex come in for Addison. So, I could do that, he's already proved that, and we could have him come in, and it would go through an update like it just did, his breaks, just like if we edited the times. And so, maybe Caleb can't come in either, we do that same idea, is we can click on here, we can click on this part, and say, “hey, maybe Allison actually can take his shift because it's a lot shorter rather than that 5 A.M. to 7.” So, I could do that.

[01:56] And you could see here that it's been changed, and so it has that tilde there. And we do talk about in another video about restoring, so I could go in and click on Restore or Revert Back, and so it can go back to, in this case, Caleb, and I can't do that with this one because it's a custom shift.
