Reset Capability

Managers and directors have privileged access to the reset functionality of the Passport System. This feature allows trainees to relearn certain aspects or address inadequate initial training. It ensures the integrity of the certification process.

“In this video we discuss how to utilize the Passport for Positions in our training system.

The Passport system allows you to track training progress for different positions within our organization. This ensures that every team member is well-equipped with the necessary skills and knowledge for their role.

To begin, select the team member you wish to train. You can do this by right-clicking on their name on the shift list or searching for them in the staff list. – from this navigation, can we assume that this will be from the shift screen? Once you’ve selected the team member, navigate to the "Passports" option. This will open up their training records.

Inside the Passport section, you’ll see various positions available for training. For this example, let’s focus on the "Beverages" position. Click to open the training module. Click on "Start" to begin the training. – when the user clicks start, the menu collapses. Can this please be changed? As you progress, you’ll mark off each task, confirming that the team member has learned the necessary skills. You can monitor when a user is currently signed in or keep track of their training sessions by looking at the last activity timestamp.

You can rate the position before, during, and after training. This way, you can track the progress being made. It will also help if another trainer or leader needs to train on a different shift. They do need to have a rating above 3 stars to have the passport stamped.

As a leader, it’s essential to verify that the team member understands their training, once all tasks are completed. Engage with them by asking practical questions related to their training. Once satisfied, you can stamp their passport, signifying that they are trained and ready for the role. This will log the completion date, ensuring that records are up-to-date.

After stamping the passport, navigate to the "training" section found on the team member’ profile. Here, you can assess their performance in the beverage training, leaving feedback to encourage continued development.

If at any point you need to recertify a team member or address any gaps in their training, simply select the option to reset their passport. Confirm the action, and their training status will revert, allowing for a fresh start.”

[00:01] Everyone from OneClick, this is Kevin. In this video, I'm going to show how you can use the positions, different passports for training, and so the idea is that, hey, I'm going to send a trainer and a new employee, or a new team member to learn about whatever position, and they can go through and be able to check that off, and saying, “hey, they did that” and then we can go over what that all represents. And so, in order to do that, in order to get to the passports, you pick the team member that is being trained, in this case, I'm going to pick on Ryan, so I can right-click on him, and then click on this passports here, or I can search for them inside the staff list, and so I can find Ryan, click on there, click on ratings, and then click go to passports.

[00:54] And so inside here, you have each of your different positions, and so you can then train them on whatever position that is for that day. So, we're going to say beverages. So, as I go through in the different beverages, you can see right now if I have it closed I can click on start, and we'll open it up, as I click on the thing saying, “hey, I trained them on how to mark each soda” I can go through and do that all the way through, and it shows who's currently signed in, in this case, it's Jessica, has completed that today, it shows that it started today, it shows the last activity was a few seconds ago, so if we left it alone, it would show that, “hey, it's been a while since they've done it” or “hey, it's been a couple days”, you can kind of see that. And then as I click it and finish it, it shows that it has been completed, and shows what the day that it was completed.

[01:47] And then as a leader, I can go through and say, “hey, did they—" in this case for Ryan, I'm going to double-check, “did you actually learn how to do all of these items on beverages? like “show me how to do a lemonade”, or just kind of double-check “hey, they actually know what they're doing with it”, and then I can stamp that passport, and so it shows that, “hey, it's been started, it's been completed, and it's been stamped”. And so, the idea behind that is that, because it's been stamped, they know how to do beverages, and then I would go into their rating, so I can go back, go to ratings, and then rate them on beverages, saying, “Hey, they did really well” or whatever, and then you can type a comment, obviously a beautiful comment. In this case, I'm going to delete it, but that's the idea.

[02:36] Okay, now as a manager or director, if I need, in this case, Ryan to kind of recertify him in beverages, or I need him to, you know, “hey, he doesn't quite understand how to do something in beverages”, “oh, who trained him?”, “oh, Jessica did”, “let's just retrain him, because that'll be easier” or “hey, I accidentally pushed the wrong person”, whatever it is I can click on reset passport, and it's going to say, “are you sure you want to reset Ryan's beverages passport? it can't be undone”, and so I'm going to say yes, because it's the wrong person, whatever, and then it resets it back to as if nothing had happened.

[03:17] Now, each of these blue, or if we've already used them in purple, link to a pathway 2.0 video, or resource, and so if, for example, the trainer doesn't necessarily know the best way to do bulk lemonade, or in dining room, there's the herd model, or the core four, if the trainer, or the employee, or the team member, sorry, doesn't know what each of those are, you can right click on it, go to new tab, and that will then open up that pathway resource, so that you can use that as the training part of it to say, “Hey, I'm not quite sure, but let's learn together”, kind of a thing, and so then you could talk about what the herd model is, or whatever, or anything else that you have, that “Hey, maybe we don't have a compactor”, and we can remove that. And there's another video that talks about how you can customize it, called the passport manager, so we can kind of go from there. Passport For Positions_Leadership 2

[00:00] Hi everyone, this is Kevin from One Click. In this video I'm going to go over passports for leadership positions. So the idea behind this is if you're trying to say, hey you finished all your positions and you want to become a trainer or a team lead or anything like that, these are the things that you should do as you're either becoming that or what you need to do beforehand to learn about to become that position. So the way to get to that and I'm going to pick on Ryan here. I can either right-click on the person and then go to passports here or if I'm on an iPad I can hold down left or hold down the button or like left-click here and we'll get to that passports or I can go to the staff list to go to their profile, and then can click on Ryan, and then go to ratings, and then permissions, or passport sorry. Down here at the bottom we'll have our trainer one, and this one is very detailed as our default example. But you can see here that it's like hey when you're training, these are the things that should be followed. Hey we're going to put the guests first, we're going to be respectful, stuff like that. Here's like the mandatory development of like hey here's my pathways or cfa home login information, here's how I can get what that is, here's some different resources about like hey we're going to be fast and accurate or help others win, stuff like that. We're going to know what the mission is or the core values for our restaurant and then for week one this is what I'm learning and then week two this is what I'm learning and so on. And so then you can add your own custom versions in another video we talked about that. That's the passport manager. But as an example I can go through like the team leader which is a little bit shorter because we haven't gone through that one yet. But we can just say hey I'm going to start this one just like you can with the normal positions. And so I can say hey Jessica completed this, as I go through and check off all of these different things you've been trained on them, or hey let's go through and do that, hey it shows that hey the last activity was a few seconds ago, it was started today, and then completed today, and then as a leader I can go through and then stamp that passport saying hey I've reviewed them, they are really good at this things, they are ready to become a team leader, I'm not going to stamp them.

[02:29] It shows that hey they've been stamped on this day, they've been approved to become a team leader, and I'll just go in and give that permission in that person's profile. And then let's say they aren't ready to become a team leader and I accidentally clicked it or whatever, I can hit reset passport and that will reset it back to what it's supposed to be. I can do that same thing for each of the different leadership positions. So I could say here's the shift leader one, here's what you should do each day or each week, here's the mandatory stuff that hey that may not be something that you normally go over but it's there. So we can do that for each of the different permission levels. Obviously if you call them different things other than like shift leader, that would be changed to reflect whatever you guys call your leaders at your store.
