Chat allows for your team to communicate using channels and direct messages.

Video Overview
Creating
You create your store channels based on roles. Add all the permission levels and areas you wish to include in this channel. This ensures that only designated individuals have access to effective communication and collaboration channels. Some other examples of these channels could include creating a channel specifically for front-of-house (FOH) trainers to coordinate training sessions and updates, a channel for all trainers to discuss best practices and share resources, or a channel for all team members to stay connected and informed about company-wide announcements and updates. Each type of channel serves a unique purpose and can be tailored to suit the needs of different teams and projects within the organization.
Note: As Team Members are added/removed or promoted/demoted, they will automatically be updated in the chats. For instance, Drew is promoted to Shift Leader. Once his permission is set in OneClick, he will automatically be added to the Shift Leader Channel. If Mary is marked as terminated, she will automatically be removed from the chat.
Channels
1. To create a channel, press the icon, then select "New Channel".
2. Choose the permission level AND the area for the channel.
3. Name the channel.
4. Press "Create".
Note: Shift Leader permissions and higher are able to create a channel.
Direct Messages
Direct messages can be used to communicate with one or more people in the account. To create a Direct Message:
1. Press the icon, then select "Direct Message".
2. Add the Team Member(s) you would like to include in the DM.
3. Name the DM.
4. Press "Create".
Types & Actions
You have many options when it comes to the types of messages you can send. This includes:
- Pictures (PNG, JEPG)
- Gifs
- Videos
- Texts
- Links (Opens in a new tab)
- PDF, CSV, and other file types
Actions you can take with messages
To take an action on a message, press the three dots next to a message, then choose your action.
Add Emojis
Quote Reply
Allows you to reference the quoted text in your message.
Thread Reply
Continue tracking responses and threads by replying to specific messages.
Pin Messages
Easily access important messages.
Edit Message

Editing
Channels
You can edit channels by clicking on the on three dots on the top right of the channel.
- Rename - change the name of the channel
- Manage Members/Role and Areas - change who has access to the channel
- Mute - quiet your notifications for a specific channel.
- Freeze/Unfreeze - Only certain team members vs all team members will be able to send messages to the channel.
- Delete - Delete the channel after confirmation.
Note: Only Shift Leader permissions and higher are able to add content to a frozen channel.
Direct Messages
You can edit DMs by also using the three dots on the upper right of the chat.
- Rename - change the name of the DM
- Manage Members - change who is included in the DM
- Mute - quiet your notifications for a specific DM
- Leave - remove yourself from the DM
- Delete - delete DM
Leaders Only
Beyond basic messaging, leaders can do the following:
- Edit messages
- Delete messages
- View other channels they are not invited to
- In a Trainer-only group, a Director can see the messages for that group but not respond unless editing the Members/Role and Areas. This allows Directors to monitor the communication within the group without actively participating, ensuring they stay informed about training sessions, updates, and discussions among trainers. Directors can provide guidance and oversight, making strategic decisions based on the information shared within the group. By having this visibility, Directors can maintain a pulse on the training activities and ensure alignment with organizational goals and objectives.
Note: Directors can see ALL role channels they are not part of while Operators can see all role AND member channels they are not part of.
Translation
You have the ability to translate chat messages so you can easily communicate with other Team Members. This will help improve Team engagement and overall communication.
To utilize the Translate tool, press the language dropdown in the chat feature. Then select your preferred language. Below is a list of available languages. Want to request additional languages for your store? Contact us!
Search
Easily search using the search box on the top left of the chat screen. Start by typing the word(s) into the box and the system will bring up a list of chats with that word.
Filter
Quickly find your messages by filtering by relevance, channel, user, or attachment type.
Mute Channel
Notifications for chats can be muted using the Kebab Menu (three dots), then pressing "Mute Channel", you can then choose the length of time you would like to mute the channel.
FAQs
I am not seeing my chat feature in the main menu. Why can't I see it?
The most common reason a person is not seeing their chat feature is they are using the Service Account. The Service Account will not show the chat feature as it is not linked to a specific Team Member, therefore it would be a breach of privacy to allow everyone to view chat messages. To view the chat, you would need to use your own sign in to view the chat or use your personal device to access the chat.
We have Team Member(s) who are not in the chat yet. Why is this?
A Team Member will not shown as joined the chat until they sign in for the first time and press "Accept" on the chat channel.
